This position is 100% onsite.
This position is more than just a simple administrative assistant role. This position involves training managers, coordination of training events, handling class assignments, registrations, and supporting the marketing and promotion of initiatives. The role requires a blend of administrative tasks with a focus on project coordination and client engagement. This position is crucial in ensuring the seamless execution of training programs and maintaining high levels of customer satisfaction.
Key Responsibilities:
Training Event Coordination:
Manage logistics for training events, including booking meeting rooms, arranging travel, and coordinating accommodations.
Oversee the nomination and validation process for specific training programs like BAT Friends and Family.
Engage with attendees during training events, providing information and answering general inquiries.
Ensure proper facilitation of meeting space and accommodations, including dietary restrictions, while avoiding unnecessary costs.
Protect the financial interests of LLS by managing potential cancellations and minimizing related expenses.
Administrative Duties:
Manage, capture, and store team documents and assets in digital repositories like SharePoint, Hightail, and RDM drives.
Prepare and monitor invoices, expense reports, and external billing, ensuring accurate cross-charging and budget compliance.
Compile and analyze basic information for inclusion in reports or presentation materials, such as charts, graphs, or tables.
Assist in the creation and proofreading of marketing materials, ensuring accuracy and consistency.
Qualifications:
Bachelor’s degree in Business, Communications, Education, or a related field.
Proven experience in event coordination, training management, or project coordination.
Strong organizational skills with attention to detail.
Excellent communication skills, both written and verbal.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with digital asset management systems.
Ability to manage multiple projects and meet tight deadlines.
Compensation / Pay Rate (Up to): $32.00 - $32.00
