The Clerical Support role within the Training Department will provide administrative support by performing general clerical, administrative, and project-based tasks. This individual will take on a power user role for the Learning Management System (LMS) and assist with organizing training logistics, maintaining records, and supporting the department’s training-related activities.

PAY RANGE AND BENEFITS:
Pay Range*: $19.40- $21.40 per hour.
*Pay range offered to a successful candidate will be based on several factors, including the candidate's education, work experience, work location, specific job duties, certifications, etc.

Job Description:
The Clerical Support role within the Training Department will provide administrative support by performing general clerical, administrative, and project-based tasks. This individual will take on a power user role for the Learning Management System (LMS) and assist with organizing training logistics, maintaining records, and supporting the department’s training-related activities.
- Key Responsibilities:
- Act as a power user of the Learning Management System (LMS), responsible for creating courses, enrolling participants, tracking class completion, running reports, and entering associated course documentation.
- Monitor the Training e-mail account to process training documentation for offsite classes and accurately record the information.
- Generate and distribute training reports and other reports as requested by the Training Manager.
- Order training materials and related supplies via Oracle, ensuring timely availability of resources for training sessions.
- Track instructor hours to ensure accurate invoicing and documentation of training services.
- Prepare classroom materials, including rosters, evaluations, tests, and any other necessary materials for instructors.
- Conduct a monthly inventory of classrooms, training materials, and janitorial supplies; reorder items as needed.
- Collaborate with the Training Manager to identify training activities eligible for grant reimbursement and enter relevant details in the appropriate system.
- Update and maintain the department quality scorecard based on course evaluation data.
- Regularly update and monitor the spending scorecard as training-related costs are incurred.
- Perform other administrative tasks as needed and assigned by the Training Department.
- Requirements:
- High School Diploma or equivalent (associate degree preferred).
- 3 years of previous clerical or administrative experience, ideally in a training, HR, or educational setting.
- Proficient in Microsoft Office Suite (MS Word, Excel, PowerPoint).
- Strong ability to prioritize tasks and multi-task in a fast-paced environment.
- Excellent organizational, analytical, and communication skills.
- Preferred experience with Oracle and/or Learning Management Systems (LMS).
- Additional Information:
- The role may require occasional offsite travel or attendance at training sessions, depending on the organization’s needs.
- Candidates should be detail-oriented, proactive, and able to maintain confidentiality in handling sensitive information.
