Overview:The Admin Supervisor, Leasing will oversee key operational functions within the leasing department, including the workflow for in-servicing leased units, managing warranty claims, billing, citations, licensing, and registrations. This role ensures the efficient support of internal customers, particularly those in the field leasing offices.

Responsibilities:- Provide leadership, guidance, and delegation of leasing office administrative tasks. Ensure accurate and timely reporting to both internal and external stakeholders. Continuously review reporting processes for opportunities to enhance efficiency and effectiveness.
- Engage and mentor team members, focusing on identifying areas of growth and opportunity. Foster a growth mindset and actively support employee development initiatives, setting clear goals for professional success.
- Collaborate with the Fleet Manager and other key stakeholders to establish and maintain performance measurement systems. Leverage Mack/Volvo dashboards, aging reports, Salesforce reporting, and ad hoc business system audits to drive continuous improvement and operational excellence.
- Build and maintain strong relationships with internal departments, external partners, and OEMs. Ensure open communication to foster collaboration and drive business growth.
- Stay current with industry best practices and collaborate with the Fleet Manager to enhance processes. Actively seek out opportunities for continuous improvement and recommend new solutions as the business evolves.
- Demonstrate initiative in researching and understanding relevant policies and procedures. Proactively share knowledge with the leasing office team, including fleet admins and warranty administrators, to support collective growth and process alignment.
- Oversee the collection and entry of mileage, reefer, and engine hours into TEC Leasing’s ERP for non-self-reporting units via GeoTab or other customer inputs. Ensure timely generation and delivery of invoices. Monitor and report on credit issuance and zero-bill reports to internal stakeholders, ensuring compliance with billing standards.
- Supervise the in-servicing of leased and rental units via Salesforce. Oversee ERP tasks, licensing, registration, and other administrative duties. Ensure timely, accurate completion of all processes, and provide regular updates to stakeholders.
- Supervise the warranty analyst’s deliverables, ensuring deadlines and accuracy are met. Act as a point of escalation when complex warranty issues arise, driving resolution through effective problem-solving and communication with stakeholders.
- Perform other duties as required to support departmental and organizational needs.
- Education and/or experience equivalent to an Associate’s degree in accounting, finance, or related field required. Bachelor’s degree preferred.
- Minimum 5 years’ experience in an administrative management or equivalent position.
- Knowledge of basic accounting processes (reconciliations, AR, AP, basic understanding of general ledger).
- Must be able to work with detailed information under considerable time limitations and with little to no supervision.
