Jamison Professional Services, Inc. (“Jamison”) is currently seeking qualified and motivated professional for the position of Administrative Assistant.
Job Description:
The Contractor shall provide administrative assistant services in support of the Telecommunication and Media Enforcement Section. This position is tasked with being the initial internal and external point of contact for all individuals calling and/or visiting the Telecom Section. Subject areas related to this support include, but are not limited to:
Clerical Program Support
• Perform the full range of administrative coordination activities providing extensive direct customer service to individuals for the Telecom Section.
• Perform general administrative duties, including but not limited to: preparing employment related packages/documents, writing letters/announcements, filing, faxing, scanning, photocopying, etc.
• Maintain, enter timely and accurate payroll/time & attendance data for office employees and submit to on a bi-weekly basis in WebTA.
• Respond to employee inquiries and/or refer employees to the appropriate individuals/departments across the organization in a timely manner.
• Provide the highest level of customer service to various internal/external stakeholders, including members of the judiciary, federal agencies, local agencies and other government organizations.
• Maintain critical confidential communication and correspondence on behalf of the executive staff.
• Maintains critical professional office decorum; ensures the work environment reflects a professional appearance.
• Develop and maintain spreadsheets in support of administrative requirements such as visitor, office supply sheets and telephone logs.
• Provide critical administrative support functions such as conference and travel scheduling, ordering and maintaining supplies, setting up audio/visual aids for the Office of the Telecom units are requested.
• Produce a variety of correspondence and maintains critical files and records; draft replies for various communications.
Office Automation and other Support Services
• Perform the full range of office automation functions utilizing automated software systems such as Microsoft Office, Excel and other agency specific technology.
• Review incoming/outgoing correspondence for appropriate distribution. Ensures proper coordination with official mail couriers, intra/inter government offices as well as private organizations for the Telecom Section.
• Maintain files and records of required documents.
• Maintain suspense records on all correspondence and action documents.
• Create and track information utilizing EXCEL spreadsheets as requested.
• Edit and proofread documents as requested.
• Serve as one of the timekeepers for the Telecom Section.
• Maintain office supply inventories; orders, stores and maintains status of supply items.
• Perform other related duties as assigned.
Key Qualifications and Requirements:
Administrative Assistant shall have:
• Experience with multi-tasking and assisting multiple office employees at once.
• Advanced computer skills to perform word processing, spreadsheet management, and conduct more advanced internet research, to include, working experience with Microsoft Office Suite (Excel, Word, PowerPoint and Outlook).
• Experience with reviewing and disseminating memorandums to staff; conducting documents control for routing through office; assisting with purchase request for small purchases, reviewing draft policies, standard operating procedures, and memorandums for grammar and format; coordinating time and attendance; compiling supplies requirements for office staff (e.g., office supplies, laptops, printers, monitors); preparing training requests; and preparing matrix of office needs
• High school diploma and two (2) years of related work experience performing duties as an administrative assistant.
U.S. Citizenship: Must be able to successfully pass a Federal Government level background check.
