Position:
The Idaho Department of Environmental Quality (DEQ) is hiring an Administrative Assistant 1 for the Boise Regional Office (BRO).
Salary Range: $16.70-$18.78
Responsibilities:
· Manage all BRO Public Records Requests (PRRs):
- Use the PRR application.
- Disseminate requests to appropriate staff.
- Contact requesters to clarify requests, to review files, or to pick up copies.
- File extensions and track PRR progress.
- Copy or scan documents.
- Drop off and pick up plans from Idaho Blue Print.
- Forward confidential information to attorneys for review.
- Respond to all requesters, complete billing, and close PRRs.
- Liaise between BRO staff, DEQ attorneys, state and regional offices, the PRR Program Coordinator, and the public to ensure information needs are met and to ensure compliance with the Public Records Law.
· Provide administrative support to BRO's programs (air, waste, engineering, drinking water, groundwater, and remediation):
- Proof, edit, finalize, mail/email, and file records.
- Complete travel and training requests and make travel arrangements.
- Schedule meetings, conference rooms, and equipment (laptops, projector, screen, and TVs.).
- Archive and obtain records from the Records Center and State Archive.
- Maintain BRO's "All-Files" index.
- Order supplies and equipment.
- Code and process invoices.
- Batch and file invoices, reconcile purchase card transactions, and complete purchase requisitions.
- Tag equipment and maintain inventory.
- Complete any special projects assigned.
Minimum Qualifications:
Good knowledge of:
office support functions including word processing, filing, composing a variety of business documents, reception, gathering and compiling data, and balancing and coordinating a workload for multiple projects.
Physical Requirements:
• Ability to sit and work on a computer for 2-4 hours at a time.
• Ability to bend and reach for filing purposes.
• Some periods of heavy reading and typing are required.
• Ability to lift 30 pounds when working with file boxes.
• Some travel may be required.
• Must have valid driver's license; may occasionally have to drop off/pick up plans, pick up lunches/treats/etc. for meetings, take cars in for service, attend seminars/trainings, etc.
