This Administrative Assistant 2 position with the Idaho Department of Insurance (DOI) works with the Deputy Director and supports insurance administrative and office business needs to help the DOI run smoothly!

EXAMPLE OF DUTIES 

• Applying public relations and liaison skills to coordinate, arrange, and schedule meetings, interviews, trainings, travel plans, administrative activities, etc. 
• Composes business or legal documents, communications, training, and presentation materials, applying a good knowledge of effective business English usage, spelling, punctuation, and grammar. 
• Research, analyze, and compile information, handle complaints, and independently resolve issues. 
• Submitting purchase orders, obtaining bids, place ordering, and monitoring contracts. 
• Administering and reviewing internal and external databases to compile and analyze information to create reports. 
• Safeguarding the flow of sensitive and confidential information. 
• Review applicable state or federal law, code, regulation, policy, or other regulatory/governing material. 
• Interpret, apply, and explain complex processes and information such as regulations, policies, and laws. 
• Utilize computer databases, software, and programs to design, retrieve, modify, or develop materials. 

MINIMUM QUALIFICATIONS 

You must possess all the minimum qualifications and the specialty qualifications below. Please make sure your resume or work history supports your meeting the minimum qualifications for this position. Failure to do this may disqualify you from being considered for this position. 

Good knowledge of: 

• Office support functions which include word processing, filing, composing a variety of business documents, and reception. Typically gained by one (1) or more years of full-time work experience performing a variety of office support functions as described; OR an Associate’s degree in Administrative Services or related field; OR successful completion of at least six (6) credits in college-level coursework that included word processing, filing, and composing documents AND at least six (6) months of full-time work experience that included responsibilities related to office support functions. 
• Researching, compiling, and summarizing data for reports. Typically gained by one (1) or more years of full-time work experience gathering information from a variety of sources to collect, and compile requested information in a report, which required good knowledge of services, operations, or programs; OR successful completion of at least six (6) credits in college-level coursework that included gathering information from a variety of sources to collect, and compile requested information in a report AND at least six (6) months of full-time work experience that included responsibilities related to office support functions.  

Experience:

• Interpreting, applying, and explaining complex information such as regulations, policies, and services. Typically gained by one (1) or more years of full-time work experience where regularly you were required to interpret, apply, and explain complex information, such as regulations, policies, and services, and how they apply to a specific situation. 
• Independently solving problems and performing liaison activities in a work setting. Typically gained by one (1) or more years of full-time work experience requiring problem solving skills and working as a liaison with the public, other agencies, and groups performing tasks to problem-solve, resolve conflicts, and/or high-level customer service.  
• Coordinating activities requiring complex arrangements. Typically gained by six (6) or more months of professional level experience where the responsibilities for coordinating, managing, and arranging complex events that included such activities as travel, registration, accommodations, negotiations, coordinating volunteers, audiovisual support, planning meals/catering, obtaining venue space, designing presentations and/or materials, etc.

MINIMUM QUALIFICATIONS SPECIALITIES 

Good knowledge of:

•  Legal Terminology. Typically gained by one (1) or more years of full-time work experience in a law office, the court system, a government agency or similar where legal terminology was used as a regular part of the job; OR successful completion of two (2) or more college-level courses covering legal terminology, legal procedures, and/or legal ethics.

Experience:

• Composing official correspondence, reports, and other complex documents. Typically gained by one (1) or more years of full-time work experience composing official correspondence, reports, and other complex documents for an administrator, director, of senior staff member; OR successful completion of college-level coursework covering business communications AND six (6) months or more full-time work experience performing these tasks as a regular part of the job. 
• Providing administrative support to an administrator, director, or senior staff member. Typically gained by one (1) or more years of full-time work experience providing administrative support, public relations, coordinating committees, handling highly sensitive, confidential information and/or political issues while applying extensive departmental knowledge to handle complaints, inquiries, and complex issues for an administrator, director, or senior staff member. 

PREFERRED QUALIFICATIONS (NOT required) 

Experience:

• Composing official correspondence, reports, and other complex documents. 
• Utilizing Microsoft Office programs, including Outlook, Microsoft Word, PowerPoint, and Excel. 
• Using Adobe Pro (or equivalent) to create and edit PDF documents.
