Administrative Assistant from Vanguard Temporaries, Inc.

Executive Assistant needed for New York State run office. This would be a long term consultancy role, fully onsite, Monday through Friday, 9:00am - 5:00pm

RESPONSIBILITIES

• Provide high level of professional and courteous, administrative support and utilize discretion while dealing with highly confidential matters
• Act on behalf of supervisor as needed, while interacting with the public and also other State Executives and employees
• Screen incoming calls and correspondence, refer to appropriate staff
• Prepare various types of office correspondence; letters, memos, emails, and other documents and written procedures
• Monitor emails, and properly file and save documents electronically as well as manually
• Conduct research, prepare reports, log payments, and invoices
• Review paperwork to ensure compliance with policy and procedure and ensure completeness
• Provide extensive calendar management support 
• Creation of spreadsheets and handle data management
• Proofread and edit written materials and utilize advanced formatting of electronic communications and document/report creation

REQUIREMENTS

• Knowledge of office administration and management
• Excellent grammar/spelling, in order to clearly handle all written communications via emails, letters, etc. 
• A minimum of two years of experience working in a fast-paced deadline driven environment
• Familiarity and proficiency in MS Office Word, Excel, Outlook, SharePoint
• Excellent organizational and communication skills
• Ability to work independently as well as with a team, and collaborate with other support staff and management
