Administrative Assistant Job Description
• Must be bilingual.
• Hours are Monday through Friday from 8:00 AM to 5:00 PM with a one hour lunch.
• Create labor tickets for projects
• Scan bills of lading and packing slips and place in the appropriate project folder on the server.
• Assist with entering appointments and deliveries and production into Outlook calendars. Send invites to responsible parties.
• Proficiency with Microsoft Word and Excel.
• Must be able to scan and send documents.
• Must assist applicants with completing new hire paperwork. This includes securing proper documentation such as ID, passport, work visa etc.
• Interacting whenever necessary to translate documents, company policies and procedures and guidelines.
• Assist with organization of the warehouse supervisor’s emails and daily activities.
• Take in packages from Fedex, UPS, etc. and open mail and then scan documents to server and email to Office Manager.
• Assist president of company on any individual tasks or requests or special projects.
• Support president of company, project manager, project administrator and office manager on special projects as assigned.
• This list is not all encompassing and other duties and responsibilities may be assigned as needed.
Pay Details: $18.00 to $20.00 per hour
