Job Summary
The Administrative Assistant provides support to assigned executives and general administrative duties including, but not limited to, calendar management, meeting material preparation, research, travel arrangements, expense reports, filing, and errands. In this role, no day will be quite the same, and you will be exposed to all areas of the banking industry.
The ideal candidate will possess discretion and confidentiality, strong multi-tasking skills and excellent attention to detail along with outstanding service-orientation and mature judgment. The Administrative Assistant's role is to leverage the time of leaders through logistical coordination of activities and needs. This individual will be a highly organized collaborative team player with a strong work ethic.
Key Responsibilities / Essential Functions

- Act as the gatekeeper for assigned executives.
- Manage calendars, prioritizing conflicting needs and handling matters proactively.
- Coordinate travel arrangements and schedules.
- Proactively input invoices and prepare monthly expense reports.
- Assist with the preparation of line of business reports, communications, and presentations.
- Plan and manage logistics for events including, but not limited to, town halls, leadership offsites and social gatherings.
- Coordinate and order delivery/pick up of catered meals, supplies, specialty items to support meetings and business needs.
- Assist with meeting material preparation for assigned executives.
- May occasionally assist direct reports of leaders with travel coordination and special projects.
- Assist with errands, correspondence, and business as necessary.
- Maintain adequate supply of office materials; including completing inventories and placing orders for materials.
- Develop strong working relationships with co-workers across the bank.
- Maintain confidentiality and security of sensitive information.
- Adhere to all corporate policies and procedures, Federal and State regulations, and laws.
- Complete all mandatory annual compliance training.
- Follow regulatory requirements including those pertaining to the Bank Secrecy Act (BSA), Anti-Money Laundering (AML), Customer Identification Program (CIP), and OFAC to assist in the identifications, detection and determent of money laundering and other unlawful activities, as well as regulations pertaining to lending and consumer compliance to include fair lending laws.
- Perform other duties and special projects as assigned.
Job Requirements
Education:
- High-school diploma or equivalent required.
Required:
- 3-5 years of previous experience in professional secretarial or administrative environment.
- Knowledge of general office procedures.
- Accurate and professional administrative skills.
- Proficiency in MIcrosoft Office, especially Outlook, OneNote, and Teams.
- Excellent organizational skills.
- Ability to build rapport quickly and effectively across various lines of business and with various levels of employees.
- Ability to communicate in a positive and effective manner in one-on-one and in small group meetings or presentations.
- Ability to listen to and/or convey detailed or important instructions or ideas accurately and quickly.
- Ability to think and act independently within guidelines and limitations of Bank policy and assigned personal authority.
- Strong attention to detail with emphasis on accuracy and presentation.
- Excellent written and oral communication skills.
- Strong financial acumen.
- Ability to prioritize duties and work independently.
- Must be self-motivated.
- Maturity to handle highly confidential information and materials.
- Ability to meet designated deadlines while remaining flexible to changing assignments.
Preferred:
- Two-year degree in related coursework.
- Prior exposure to executive level assistance.
