JOB SUMMARY:
The Administrative Assistant (AA) is a critical Eureka team member that provides high-level assistance to the CEO. The CEO's demanding schedule makes this a challenging and dynamic role, requiring a highly discreet and professional individual, with extremely strong organizational, analytical, and interpersonal skills. The AA will also manage the local office and from time-to-time lead work projects with other key executives. They must be confident and self-motivated. This position is trusted with complex duties and sensitive information. In addition to general administrative work, they may oversee travel arrangements, scheduling meetings and events, taking minutes during sessions, maintaining digital and paper files, databases and producing reports or presentations for their executive leadership. They will keep the office running like clockwork by delivering transparent organization and communication to Eureka executives on a one-on-one basis and on a wider basis with internal and external clients.
ESSENTIAL JOB FUNCTIONS:
- Managing the executive's day-to-day calendar, including making appointments and prioritizing the most sensitive matters.
- Legal and Security (Business): Work closely with our CEO to coordinate all matters related to effectiveness and efficiency of the CEO for all business matters:
- Oversee the proper execution of legal documents for transactions and entity requirements.
- Manage the CEO signing calendar with multiple team members and travel (within the State of TX, mainly within the City of Austin) to the CEO for signature as needed.
- Coordinate legal file delivery to lenders, title companies and partners.
- Oversee management and maintenance of digital and paper documents according to document retention requirements.
- Performing minor accounting and bookkeeping duties.
- Organizing meetings and events, including scheduling, sending reminders, organizing catering and event logistics when necessary.
- Providing administrative assistance, such as writing and editing emails, drafting memos and preparing communications on the executive's behalf.
- Coordinating travel arrangements (both domestic and international) and create trip itineraries.
- Welcome visitors and answer incoming phone calls in a polite and professional manner, accurately taking messages, and welcoming visitors and identifying the purpose of their visit before directing them to the appropriate department.
- Using various software, including word processing, spreadsheets, and presentation software to prepare reports and/or special projects.
- Ability to Travel or have a mobile office.
- Other duties assigned.

EDUCATION & EXPERIENCE:
- Highschool Diploma or GED.
- Associate’s Degree preferred.
- Prior administrative experience.
