Chemours is seeking an Administrative Assistant for Capital, Grants, and Facilities to join our growing Capital Administration, Grants, and Facilities team! This position will report directly to the Federal Sponsored Research Compliance manager and the Site Director at our Newark, Delaware location.
The Administrative Assistant has overall responsibility for organizing and supporting capital purchasing with direction from Capital Project Managers, files and form management for compliance, and assisting the Site Director and CDH Administrative Assistant team with scheduling events and meetings.
Performs a variety of administrative duties. Supports one or more members of management and/or staff in a business or functional unit. Work generally requires knowledge of company and/or business/functional practices, policies, programs and/or product line. Resolves routine and non-routine inquiries. Administrative responsibilities include calendaring, document preparation and management, correspondence, travel arrangements, and meeting/travel coordination. Maintains confidentiality.

The responsibilities of the position include, but are not limited to, the following:
- Entry and submission of purchase/service requisitions, goods receipts, and service entry sheets into SAP or similar accounting software.
- Basic data entry of new project requests into EcoSys or similar project management software.
- Requesting purchasing quotes, vendor information, final invoices, and release of liens from contractors and vendors as specified by Project Managers.
- Request vendor financials for setting up and revalidating vendors in SAP.
- Request contractor and vendor safety information for site Contract Administrator.
- Obtain equipment manuals and databasing information into maintenance tracking application.
- Update required documents and manage files associated with Grant Compliance
- Partner with Compliance Manager to update forms associated with Grant Compliance, management, and applications.
- Collaborate with Site Leader and CDH Admin Network to plan events, tours, and meetings.
- Update and maintain the CDH SharePoint site.
The following is required for this role:
- HS Diploma or equivalent, AA/AS degree preferred.
- Strong computer skills, particularly Microsoft Outlook, Microsoft Office, SharePoint and Power BI.
- Strong experience with SAP or similar software (Experience with Microsoft Power Apps, Coding, or other complex software)
- Initiative, be an active learner and self-manage.
- Demonstrated ability to exercise good judgment.
- Demonstrated ability to be flexible in a constantly changing work environment.
- Excellent communication skills, judgment and planning.
- Strong interpersonal skills.
- Good written and verbal communication skills.
- Demonstrated strong organizational and detail-oriented skills.
The following skill sets are preferred for this role:
- 3-5 years. experience with SAP systems and project managing software.
- Experience managing purchasing, tracking, and delivery of equipment and services.
