Are you organized, detail-oriented, and ready to be the backbone of a fast-paced, supportive team? We’re looking for an Operations Administrative Assistant to handle a variety of essential office and operations-related tasks, keeping our daily operations running smoothly. In this role, you’ll be a key player in our team, interfacing with clients, supporting staff, and assisting leadership, all while creating a positive and efficient work environment.
What You’ll Do:- Support Leadership: Work closely with our Account and Project Managers, assisting with various administrative duties and ensuring project completion.
- Manage Office Essentials: Handle data entry, payroll assistance, phone calls, filing, and supply orders. Keep the office stocked, organized, and running efficiently.
- Team Coordination: Create and manage weekly spreadsheets for staffing rosters, PTO accruals, seniority lists, and more.
- Scheduling & Reporting: Verify schedules, maintain hourly reports, and assist with managing staff access in EPAY.
- Client & Vendor Interaction: Correspond directly with clients, handle work orders in the Corrigo system, and work with vendor partners to ensure timely billing and payment.
- Organize Records & Compliance: Maintain files on cloud storage, keep safety records, and ensure all project approvals are up-to-date.
- Inventory Management: Track tools and equipment, perform MVR checks, and keep inventory organized.
- Additional Tasks as Needed: Step in to support the Account Manager with proposals, travel arrangements, AR/AP duties, and any other administrative needs.
- Strong organizational and communication skills
- Ability to manage multiple tasks and prioritize effectively
- Comfortable working with cloud storage and software like EPAY
- Proactive attitude and a team player approach
