Overview

The Administrative Assistant plays a crucial role in ensuring the smooth and efficient operation of the office. They provide administrative and clerical support to ensure the organization runs efficiently. This role is essential for maintaining office productivity and assisting in daily operations.

Key responsibilities

Manage and coordinate office activities and operations to secure efficiency and compliance to company policies

Support managers and employees through a variety of tasks related to organization and communication

Answer and direct phone calls, organize and schedule appointments, and maintain contact lists

Assist in the preparation of regularly scheduled reports

Develop and maintain a filing system

Order office supplies and research new deals and suppliers

Maintain contact and address lists

Book travel arrangements and organize meetings and conferences

Submit and reconcile expense reports

Provide general support to visitors

Act as the point of contact for internal and external clients

Manage agendas for upper management

Assist in the preparation and organization of documents

Perform data entry and maintain databases

Required qualifications

Proven experience as an administrative assistant or office admin assistant

Knowledge of office management systems and procedures

Proficiency in MS Office (MS Excel and MS Outlook, in particular)

Excellent time management skills and the ability to prioritize work

Attention to detail and problem-solving skills

Excellent written and verbal communication skills

Strong organizational skills with the ability to multi-task

High school diploma or equivalent; additional qualification as an Administrative assistant or Secretary will be a plus

Professional attitude and appearance

Ability to be resourceful and proactive when issues arise

Excellent customer service skills

Experience in data entry and maintaining databases

Ability to work independently and take initiative

Knowledge of basic accounting principles and office management practices
