About the Job
GENERAL DESCRIPTION:
Provides clerical administrative support to the Quality and Inspector Performance Departments. Primarily assists in the coordination of Contacts Management and Inspector Training, Oversight, and Performance matters.
Collaborates with other departments, Regional Offices, maritime partners, clients, and Inspectors, as directed, to ensure the program and records management are properly executed and maintained.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Assist to execute Quality Program and processes.
- Act as the department’s point of contact for Contact Management by maintaining the integrity and updating records regarding vessel and company records and contacts.
- Maintain Quality and Inspector Training, Oversight, and Performance Records.
- Monitor Quality and Inspector Performance metrics.
- Assist to execute inspector/auditor training and personnel development program and processes.
- Assist to execute inspector/auditor evaluation program and processes.
- Assist to execute inspector/auditor oversight program and processes.
- Communicate, in any medium, with departments, offices, contractors, and clients on departmental business and processes.
- Develop and maintain department policies and work instructions.
- Prepare and maintain reports departmental reports.
- Develop content and maintain information technology sites (e.g., SharePoint, Learning Management System, Waypoint, etc.).
- Capture and archive relative content of department discussions/meetings.
- Procure, receive, and distribute items.
- Monitor & respond to email correspondence and answer calls.
- Assists the Assistant, Quality and Marine Investigations for redundancy and as needed by the SVP, Quality and Training Standards.
- Assist in duties and projects as required by supervisor and executive level staff.
Experience, Education and certification
- High School degree required. Additional formal education preferred.
- Minimum one year of Administration experience. Additional formal executive assistant and clerical training preferred
- Maritime experience preferred
Knowledge. Skills and Abilities
- Proficient knowledge of Microsoft Office applications and use of general office equipment
- Ability to organize and prioritize work and meet deadlines
- Ability to work in a team environment
- Speak and understand English
- Strong skills in English grammar and composition
