Job Description:
The Administrative Assistant will provide essential administrative support to the local team. This role requires a detail-oriented individual with strong computer skills and a collaborative attitude. The ideal candidate will be self-motivated, organized, and dedicated to contributing to the team’s success.
Key Responsibilities:
- Compile and organize statistics and research information.
- Manage office supply inventory and maintain stock levels.
- Coordinate and schedule company events and training sessions.
- Oversee lab coat inventory and ordering.
- Assist with inventory tasks in the spare parts department.
- Arrange travel for employees, including hotels and flights.
- Handle monthly purchases for workshop supplies.
- Maintain records of company credit card transactions and receipts.
- Prepare shipping documentation for various locations.
- Manage inventory for customer service supplies.
- Coordinate meals and transportation for guest visits or special occasions.
- Support HR tasks, including parking assignments and locker management.
- Perform scanning, filing, and document preparation.
- Update and maintain records related to production, quality, and corrections.
- Document and manage tool assignments and product details.
- Assist with travel arrangements for team meetings and training.
Qualifications:
- Minimum of 1 year of relevant experience.
- High School Diploma or equivalent.
- Proficiency in MS Suite, particularly Outlook.
- Strong customer service skills.
- Excellent organizational abilities and attention to detail.
- Discretion and confidentiality.
- Effective written and verbal communication skills.
Additional Details:
- Work Hours: Flexible 8-hour shifts within 7 am - 6 pm, 40 hours per week.
- Dress Code: Business Professional.
- Interview Process: Includes virtual interviews with recruiter and HR Generalist, followed by an in-person interview with the Director of Service and CS Manager, including a data entry assessment.
- Onboarding: Background check and reference verification will be conducted by the client.
