About the Job
Qualifications:
- High School diploma or GED preferred
- Rapid and accurate computer data entry skills
- Verbal, reading and written skills necessary to complete all job requirements
- Acceptable criminal records check, meeting the Agency definition of acceptable moral character
- Negative Drug Screen and TB test
- Valid Drivers License
- Driving Record acceptable for insurance purposes
- Knowledge of operation of office equipment (fax, copier, scanner)
Additional Specifications:
- Health: The administrative assistant must be in such physical and mental health to efficiently complete all functions and duties of the position and not negatively affect the daily work responsibilities of his/her co-workers or the Agency. Physical requirements will include but may not be limited to lifting (30 pounds), bending, sitting, squatting, standing, stooping, kneeling, etc., without restriction.
- Knowledge: A administrative assistant shall have sufficient knowledge to solve unusual as well as commonplace problems.
- Supervision: The Department Supervisor shall supervise the administrative assistant.
- Skills: The administrative assistant shall have the physical and mental ability and skills to accomplish administrative, data entry and filing duties as assigned by the Department Supervisor or their designee.
- Judgment: The administrative assistant shall be able to exercise sound judgment within their assigned areas of responsibility. He/she shall be able to work on a day-to-day basis without immediate direction from Supervisory staff. The administrative assistant shall be able to handle emergencies as outlined in the Policy and Procedure Manual.
- Performance Standards: This position shall adhere to I.M.P.A.C.T. code of ethics; maintain consumer/employee confidentiality, effective teamwork, courteous professional interactions with public and coworkers.
- HIPAA Level of Access – limited access to residential records; full access to residential demographic; limited access to residential financials in location 10. No access to CHR and staff clinical, financial and demographic records
Overall Responsibilities:
Under direct supervision, the Administrative Assistant shall, accurately and in a timely manner, performs a variety of administrative duties such as: typing, filing, organizing personnel/client files, computerized data entry, copying, mailings, faxing and other administrative duties as assigned.
Specific Responsibilities:
- To follow all Agency Policies and Procedures.
- To report any problems or concerns to the immediate supervisor.
- Monitors resident records for current information.
- Accurately file documents, records and charts.
- Accurately enter information into correct database.
- Accurately data enter information into established computer programs.
- Verifies accuracy of information entered into OASIS or other databases.
- Purging personnel/client records as directed.
- Copying/faxing/scanning information as directed.
- Strictly maintain the confidentiality of all employees and clients.
- Assist Supervisors with distributing and obtaining information for resident placements
- Assist with Facility tours.
- Assist with scheduling resident appointments.
- Maintains staff schedules in time management system.
- Maintains information on department calendars.
- Any other duties as assigned by the Supervisory staff
