Hours: Monday to Friday 8 AM to 530 PM
ADMINISTRATIVE ASSISTANT
Energetic professional who doesn’t mind wearing multiple hats. Experienced in handling a wide range of administrative and executive support related tasks and able to work independently with little supervision. Well organized, flexible and enjoys the administrative challenges of supporting an office of diverse people.
The Administrative Assistant will be responsible for developing intra-office communication protocols, streamlining administrative procedures, inventory control, office organization and task prioritization.
- Develop organizational procedures and systems for office including filing, donation records management, communication, and relationship management
- Google Drive organization and staff compliance with policies and procedures
- Staff communication and problem-solving efforts
- Comfortable with and/or willing to learn online and web-based business tools such as PayPal, Event bright, Facebook events, etc., processes payments
- Ability to or willing to learn how to update social media and web pages
- Manage organizational calendars, meeting/conference schedules, and troubleshoot scheduling conflicts as they arise
- Order supplies and equipment as needed; edit/create documents, spreadsheets, and other documents and manages google drive for organization ensuring compliance with organizational policies
- Provide support for the organization, programs, and grant writing & reporting requirements; attend meetings, take minutes, send out meeting notices, and organize meeting needs (such as coalition or board packets in electronic and print forms)
- Responsible for creating PowerPoint slides and making presentations
- Manage CEO schedules, calendars and appointments
- Establish a historical reference for the office by outlining procedures for protection, retention, record disposal, retrieval and staff transfers
- Ensure office efficiency is maintained by carrying out planning and execution of equipment procurement, layouts and office systems
- Develop and implement office policies by setting up procedures and standards to guide the operation of the office
- Work with CEDO & staff to ensure manuals, bylaws, financials, board minutes, and policies and procedures that are current and accessible
- Maintain an updated list of deadlines, renewal dates, etc., for various program and organizational functions
- Manage databases for events and stakeholder groups
- Work with staff to produce exceptional special events and fundraising events
- Assist the staff to carry out organizational functions across programs (i.e., transportation, coalition meetings, village assemblies, ASEP, CEP, SAYA events and projects)
- Assists with office set up, ongoing processes & cleaning
- Keeps lists (vendor, stakeholders, donors, storage items, etc.) updated
Preferred Qualifications:
- Associate degree required (B.A. or B.S. preferred)
- Proficiency in Microsoft Office suite, Google Drive and Google software
- Experience with scheduling, budgeting and payroll
- Advanced computer skills (Quicken and Constant Contact or Network for Good experience a plus) and/or ability to learn new IT systems
- Supply management experience
- Excellent written and verbal communication skills
- Comfort with fast-paced environment
- Strong oral and written communication skills
- Strong organizational and planning skills
- Knowledge of clerical practices and procedures and computer and online software a plus
