Administrative Assistant - City of Newnan

Summary:

Under the moderate supervision of the assigned department supervisor, performs intermediate skilled administrative support work providing administrative support to department staff, receiving and processing incoming calls and visitors, preparing and maintaining records and files, typing a variety of documents, preparing reports, and related work as apparent or assigned.

Essential Duties and Responsibilities:

• Answer and screen telephone call, greets scheduled visitors and directs to appropriate area or person.
• Receive, secure, and process payments for impact fees and other planning related activities.
• Enter a variety of data into computer; verifies statistical and other records for accuracy and completeness; enters and retrieves sensitive and restricted information into computer system.
• Types a variety of documents including correspondence, forms, reports, purchase orders, requisitions, etc. where a knowledge of format and presentation is necessary; answers routine correspondence independently.
• Accept, record, and monitor progress for plan and plat reviews. Communicates correspond, and coordinate meetings with departments and applicants throughout the review process.
• Attend board meetings and other planning related events/functions as necessary. Prepare agenda packets and meeting summaries for distribution.
• Drafts meeting minutes and maintains minute books for various boards.
• Assist in the coordination and preparation of periodic, special, and other reports; collects information from a variety of sources and compiles data.
• Sort, index, and maintain various file and record. Scan documents and organizes files using an electronic filing system. Prepares hardcopy files for transfer to off-site storage facility.
• Receive, sort, process and distribute incoming and outgoing mail; assists with large mailings.
• Maintain time sheets and processes payroll for various departments.
• Operate a variety of standard office equipment; performs minor and preventive maintenance on equipment and requests service when equipment is malfunctioning.
• Perform specialized departmental tasks and duties including assisting other departments as assigned.

EDUCATION and/or EXPERIENCE:

High school diploma or GED and moderate experience in administrative support and office operations, or equivalent combination of education and experience.
