Position Summary
The Administrative Assistant is responsible for providing comprehensive administrative support, managing correspondence, scheduling appointments, and maintaining filing systems while serving as a primary point of contact for inquiries. The role assists in document preparation, database management, and office operations, drives meeting coordination, travel arrangements, and inventory management. They collaborate with other administrative staff and support cross-functional initiatives and projects.
What will your job entail?
Responsibilities: Provides general administrative support to the office, including managing correspondence, scheduling appointments, and maintaining filing systems. Provides administrative support in preparing and formatting documents, reports, presentations, and spreadsheets using word processing, spreadsheet, and presentation software. Serves as a primary point of contact for internal and external inquiries, answers phones, responds to emails, and directs inquiries to the appropriate personnel. Maintains databases and spreadsheets accurately and efficiently, ensuring data integrity and confidentiality. Organizes and maintains electronic and physical filing systems, ensures documents are properly categorized, labeled, and archived for easy retrieval. Assists with meeting logistics, including arranging venues, coordinating catering, preparing materials, and recording meeting minutes as needed. Coordinates travel arrangements for staff, conducts flight booking, grounds itineraries, hotels, rental cars, and processes expense reports. Assists with office operations, checks stock to determine inventory level, anticipates needed supplies, orders, coordinates maintenance and repairs, and ensures working office equipment. Collaborates with other administrative staff to support cross-functional initiatives and ensures smooth workflow and communication. Assists with ad hoc tasks and projects as assigned by supervisors or management, demonstrating flexibility and willingness to support the team as needed. Work Experience: Minimum of 1 year of experience in Administrative support or a related field is preferred. Education: High School Diploma or equivalent.
