Job Title: Administrative Assistant
Job Locations: City of Norfolk, Department of General Services (Parking Division)
230 Main Street, 2nd Floor, Norfolk, VA
Schedule: Monday- Friday 8:00am-2:00pm (part time, 25 hours/wk.)
Pay Rate: $19.69 hourly.
Job Duties:
• Provides administrative assistance by coordinating the efforts of parking units, managing administrative operations, serving as a liaison between the Director’s Office and personnel; conducting research and developing related correspondence, processing and maintaining records, collecting data, composing correspondence, preparing reports, scheduling appointments, coordinating travel arrangements, developing special projects, processing and distributing mail (including logging all mail and checks received by the parking division), composing reports, preparing promotional literature, newsletter material and media releases; attending meetings and taking minutes, writing memos, monitoring appointments and scheduling meetings, relaying information to city employees and the public, coordinating the sending of data for publication, etc.
• Maintains the office by maintaining staff schedules and meetings, maintaining facility inventories of office supplies, assisting with, generating reports and correspondence, taking notes at meetings, answering customer inquiries, and completing training program applications and reports.
• Distributes mail, updates manuals as needed, assists with information requests by accepting, reviewing, and distributing documents, responds to email requests for information, coordinates meetings as needed. Maintains and logs mail and checks received by the Division to ensure appropriate segregation of duties.
• Aids customers and personnel by answering telephone inquiries, assisting employees with voice mail and telephone set-up, maintaining telephone extension listings for the office, resolving billing issues, relaying information and making arrangements for payments.
• Assists with vendor contracts, providing information for renewals. Establishes specifications for bids and services. Creates and processes purchase orders. Tracks spending and oversees, updates, and maintains spending spreadsheets. Performs online purchases for various supplies and other items, coordinates and facilitates recruit academy fittings. Provides administrative support to the Parking Operations unit by creating and submitting financial transaction documents such as vendor quotes, purchase orders, contractor payments, etc.,
• Works collaboratively with the accountant II to ensure an effective Accounts Payable process.
• Assists and supports the Director’s Office with development and implementation of internal strategic communications plans. Assists with customer and employee engagement surveys.
• Maintains office inventories by ordering and receiving supplies, materials, and equipment, recording inventories, and storing received supplies and equipment.
• Follows division protocols and scripts to provide timely information on City services, policies, and practices in a courteous and effective manner; uses applicable computer and customer interactive applications and other job-related office equipment; meets quality standards for service.
• Assists customers by providing information and making customer referrals to the correct staff unit.
• Supports the Directors/Assistant Directors with administrative duties as needed. Performs administrative support work such as entering, updating, information; determines appropriate processes to be used; maintains clear and organized handwritten and/or electronic records.
Requirements:
• High school diploma or equivalent.
• 2 years of administrative experience.
