The HR Administrative Assistant will have administrative and clerical responsibilities for the department of Human Resources and occasionally its affiliate departments of spiritual care, employee assistance, volunteers, and employee health; responsible for providing comprehensive support in the day-to-day operations of Human Resources; acts as the first point of contact for HR-related matters and interacts with both internal and external stakeholders; organizes the front desk of HR to ensure accurate form availability, screens forms for completeness and correctness, monitors general HR e-mails as requested, and follows-up with employees and managers as requested;works closely with other departments to provide customer-focused, effective HR service to the organization; processes internal arrangements such as appointments, travel, training sessions, team-building events, and correspondence as needed for human resources staff; maintains internal records which may include preparing, issuing, and filing company documentation; assists the HR department with recruitment, maintaining employee records, assisting with payroll processing forms, and provide administrative support to all staff as requested; assists with performance management procedures; assists with new employee orientation and updates records for new staff; answers phone calls, schedules meetings, schedules meeting rooms, and supports visitors; plans meetings and take detailed minutes as requested; performs administrative duties such as filing, typing, copying, binding, scanning, etc.; exhibits polite and professional communication via phone, e-mail, and written correspondence; ensures operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories, and evaluating new equipment and techniques; provides information by answering questions and requests; contributes to team effort by accomplishing related results as needed; assists in the preparation and distribution of regularly scheduled reports; regular and prompt attendance; ability to work schedule as defined and overtime as required; related duties as required.
Qualifications:High school diploma or equivalent and five years of progressively responsible administrative and secretarial experience.
