The General Counsel’s Office has many areas of business and administrative law.
The Work You Will Do:
This is a highly responsible position that provides administrative support to the Division of Condominiums, Timeshares and Mobile Homes/Arbitration legal unit and works under the direction of the Chief Arbitrator for this work unit.
Your Specific Responsibilities:
+ Provides statistical information pertaining to closed cases and attorney case assignments;
+ Prepares, converts and posts final order summaries and final orders to the internet;
+ Prepares indexes of final orders, attorney’s fee order and recall cases;
+ Coordinates printing services pertaining to indexes for distribution to the public;
+ Monitors and updates Arbitration internet website;
+ Assists in opening, closing and updating case statuses in document and case management systems;
+ Answers incoming telephone calls and distributes as necessary;
+ Drafts letters and correspondence;
+ Processes incoming mail;
+ Prepares outgoing mail,
+ Reserves court reporters;
+ Maintains attorney calendars by scheduling appointments/meetings/hearings/deadlines;
+ Prepares travel authorizations and reimbursements;
+ Maintains supply inventory and makes purchases as necessary;
+ Acts as a liaison to the Director’s office concerning issues relating to general services, personnel and other administrative services;
+ Compiles weekly vacancy reports;
+ Maintains organizational charts and personnel files;
+ Represents Chief Arbitrator at meetings within the department, including purchasing, technology and budget meetings.
Knowledge, Skills, and Abilities:
+ Knowledge of Microsoft Office Suite, specifically Word and Outlook;
+ Knowledge of law and legal procedures;
+ Knowledge of office procedures and practices;
+ Knowledge of methods of data collections;
+ Ability to effectively communicate verbally and in writing;
+ Ability to prepare correspondence and administrative reports;
+ Ability to utilize problem solving techniques;
+ Ability to establish and maintain effective working relationships;
+ Ability to multi-task;
+ Ability to work independently;
+ Ability to plan, organize and coordinate work assignments
Minimum Requirements :
+ High school diploma; and
+ At least one to two years administrative experience, clerical or legal secretarial experience; and
+ Working knowledge of Microsoft Word and Outlook.
