Job Specific Responsibilities The Staff Assistant III provides daily administrative and web support for the Harvard College Writing Program, which is staffed by 50+ faculty and staff, and serves approximately 1700 students per year. The Staff Assistant III will: " Answer telephones, respond to email, distribute mail, inventory and order office supplies, renew subscriptions, and oversee maintenance of common spaces and office equipment (photocopiers, telephones, and printers). " Provide customer service in the reception area: greet and direct visitors, and answer visitors' questions. " Liaise with FAS Classrooms to schedule appropriate classrooms for all Expos Studio 10, Expos Studio 20, Expos 20, and Expos 40 courses offered during the regular academic year. " Create electronic course evaluations to administer to enrolled students. Download and distribute results to faculty. " Create and maintain annual job applicant database; request and manage applicants' supporting materials. " Implement updates to Program's websites. " Provide assistance with logistics for special events: communicate with planning committees; coordinate advertising; collect RSVPs; reserve rooms; organize A/V materials. " Prepare invoices and manage reimbursements for faculty travel and research. " Provide clerical support for various digital projects, including electronic file organization, collecting and archiving Program materials, compiling Program data, and researching and developing digital tools. " Perform layout and design, as well as editing and proofreading of Program documents and publications; work with HUIT and various Harvard offices to produce and deliver electronic and print promotional materials. " Provide occasional assistance to one or two Writing Program faculty with logistics for their community engagement courses: coordinate field trips and/or trainings for students; do event planning for end-of-semester capstones; coordinate advertising; reserve rooms; arrange photography or video of course activities for Program publicity. " Perform other duties as required. Basic Qualifications 2 years administrative experience. Education beyond high school may be substituted for work experience. Additional Qualifications Must have excellent organizational skills with meticulous attention to detail; strong written and oral communication and interpersonal skills; ability to work independently, with supervision, and as part of a team. Ability to work with faculty, staff, and students, and to handle confidential information with discretion. Advanced proficiency with MS Office (including Excel and PowerPoint), email. Facility with learning new applications. Working Conditions: Primarily on campus. |
