Administrative Assistant II at Richfield Real Estate

Administrative Assistant II will provide a wide variety of administrative and staff support services to the Real Estate and Asset Management Team. 

General Areas of Responsibility

• Work on multiple projects, with varying priority levels, and meeting the agreed upon objectives.
• Assist and work closely with other groups to facilitate the successful execution of company and asset objectives.

Focus Areas of Responsibility

• Types and designs general correspondence, emails, memos, exhibits, presentations, flowcharts, etc. Proofreads documents for spelling, grammar, and layout, making appropriate changes. Responsible for accuracy and clarity of final documents.
• Establishes, develops, maintains and updates filing system. Retrieves information from files when needed. Maintains electronic databases as needed.
• Schedules and organizes activities such as meetings, travel, conferences, and department activities.
• Manages department phone calls; takes messages or fields/answers all routine and non-routine questions.
• Drafts written responses or replies by phone or e-mail when necessary. Responds to regularly occurring requests for information.
• May act as company liaison with external agencies, vendors or customers. Coordinate preparation of documents and packages provided to external agencies.
• Performs miscellaneous administrative duties (i.e. faxing, copying, filing).
• Assists in overall team efforts.

Job Requirements

Experience

• 3 - 5 years solid administrative experience
• Specializing in Real Estate, Construction, Engineering and Executive Administration a plus.
• Positive, can-do attitude and willingness to accept additional responsibilities as needed.
• Strong customer-service orientation, verbal communication, and telephone skills.
• Professional appearance; ability to confidently interact with all levels of management.
• Proven ability to work independently and have strong initiative.
• Highly organized with a strong attention to detail.
• Strong working knowledge of general office concepts, practices and procedures.

Education Required
Requires a high school diploma or equivalent.
