The Administrative Assistant for the Government Affairs group is responsible for supporting the Director of Government Affairs as well as members of the Government Affairs and Public Affairs teams. This position performs administrative duties including word processing, developing spreadsheets, process flows, and completing graphical presentations. Additionally, the Administrative Assistant manages calendars, mail, e-mail, phones, prepares reports, responds to correspondence, coordinates meeting details, provides presentation materials, and coordinates domestic and overseas travel arrangements. Additional assignments include monitoring budgets, data gathering, statistical evaluations, expense reports, vendor payments and filing. A successful candidate has excellent client skills, is able to balance the workload demands of various projects, can prioritize tasks, and can complete their work with a high level of quality, on time while exceeding expectations. Additionally, successful candidates possess a professional demeanor, are detail-oriented, can handle pressure and stressful situations, are impeccably organized and can anticipate the needs of those they support. This position reports to the Director of Government Affairs and is based in Houston.
RESPONSIBILITIES AND ACCOUNTABILITIES: 1. Complete word processing, graphical presentations, spreadsheet, process flows, and assignments as requested. 2. Proactively update the Director on upcoming meetings, providing pre-read and other pertinent materials for review prior to the start of meetings. 3. Screen mail, e-mail and phone calls. 4. Manage multiple calendars. 5. Coordinate internal and external meetings and conferences, including travel, hotel, and food service. 6. Prepare reports and presentations, including assist in preparation of detailed state and federal lobby reports. 7. Coordinate travel plans as requested. 8. Process and track vendor payments and expense reports. 9. Organize & maintain file systems & current documents. 10. Track project management benchmarks & update project plans. 11. Oversee contractor assignments. 12. Draft correspondence. 13. Maintain confidential data related to budget. 14. Update and maintain department SharePoint site. 15. Develop, update and maintain department section on company intranet website. 16. Coordination of departmental/HR logistics for recruiting of new hires. 17. Support multiple projects.
Education and Certifications: High School Diploma required. Associates or Bachelor's degree preferred. Work Experience: Minimum of 5-9 years of prior administrative experience required, preferably at large organizations. Critical Competencies/Behaviors: Drive for Results. Priority Setting. Integrity and Trust. Strong work ethic and self-motivation. Highly organized. Attuned to anticipating needs of the group. Strong problem solving skills, including the ability to effectively address any issue in collaboration with others as appropriate; ability to proactively identify and prevent potential problems; ability to develop problem solving skills among direct reports and other team members as appropriate. Ability to work effectively under continual deadline pressure. Expert ability to create presentations.
