Contract Duration: Tentative start date: Oct 14, 2024 through Jun 30, 2025(Assignment extensions occur quarterly. The selected candidate has the potential to stay in the role for up to 18 months.)
Onsite/Remote/Hybrid (if onsite/hybrid please give city/town name): Hybrid; Mostly remote but may be required to come into the office 1 time a week if event or project is occurring.
Must Haves: Years of Experience Required: 5-7 overall years of experience in the field. The ideal resume would contain prior experience in a large enterprise tech company. The ideal candidate is proactive and can work well with ambiguity. They are action oriented, and resourceful.
1. Minimum 5+ years experience with Calendar support in Outlook
2. Minimum 4+ years experience working with Executives, including external executives.
3. Minimum 5+ years experience with supporting events, travel, and expenses.
Job Description:
Performs a variety of complex administrative functions for all levels of management including external business partners. Manages schedule(s), coordinates travel arrangements and processes business expenses. Coordinates meetings and events, department financial operations, personnel operations, and facility operations. Manages procurement of goods and services including computer equipment, office supplies, reference materials, and vendor relationships. Provides general office support. Serves as the department/group contact. Completes special projects as assigned.
Typical Day in the Role: • Purpose of the Team: The team is part of a global sales team that manages the top 25 partners at a large enterprise tech company.
• Key projects: The role is to support two of the GMs, with their calendar, travel, expenses, and partner event support. The role also involves being a backup for the Executive Admin for GM, when the EA is out. The role may support both international and domestic travel, likely at most once a month between both executives. Knowledge of VISA processes not required. They will support a team of around 30 members, and the role only requires basic excel skills. A lot of their time will be spent on event support, booking rooms, catering, badges, and logistics support for partner meetings with executives.
• Typical task breakdown and operating rhythm: Varies day by day, but will likely be 40% calendar support, 30% event support, remainder on travel, expenses, and various activities.
