Job Description:

The Administrative Assistant, Intermediate will provide comprehensive administrative support to the systems engineering and architecture development processes. The role involves coordinating travel, meetings, and conferences while managing schedules and providing operational support.

Key Responsibilities:

• Manage calendars, schedule meetings, and coordinate events effectively to support team activities.
• Prepare Defense Travel System (DTS) authorizations for travel arrangements.
• Provide miscellaneous operations support to enhance efficiency within the team.
• Coordinate travel arrangements and documentation for meetings and conferences.
• Deliver administrative support essential for systems engineering and architecture development processes, including:
  • Preparation, review, and compliance monitoring of technical documents.
  • Evaluation of progress and schedule compliance.
  • Conduct technical assessments as required.
• Develop and maintain a variety of reports, including monthly progress/status reports.
• Produce invoices for the Government categorized by ACRN, Functional Area, System Name, etc.
• Handle normal non-technical and technical office administrative tasks efficiently.
• Demonstrate the ability to type highly specialized technical reports rapidly and accurately.
• Operate computer terminals and/or work processing center equipment; maintain familiarity with relevant software and tools.
• Monitor and track obligations and expenditures for assigned contract tasks, schedules, and ceilings.
• Resolve billing and invoice discrepancies promptly and efficiently.

Qualifications:

• Education: High School Diploma required.
• Experience: Minimum of one (1) year of administrative support experience managing calendars, scheduling meetings and events, and preparing DTS authorizations.
• Skills:
  • Strong organizational and time management skills.
  • Ability to produce high-quality work with attention to detail.
  • Proficiency in typing and preparing documents accurately and quickly.
  • Familiarity with computer terminals and word processing software.
  • Effective communication skills, both verbal and written.
  • Ability to handle multiple tasks simultaneously and meet deadlines.
