Job Summary
This position serves as the face of the organization for students, families, and external stakeholders visiting the campus. The Administrative Assistant is also responsible for providing general office support with a variety of clerical activities and related tasks by performing the following duties.

Essential Duties
- Answers incoming telephone calls, determines the purpose of callers, and forwards calls to appropriate personnel or departments.
- Ensures timely student data entry to maintain up-to-date analyses and individual and program performance reporting.
- Welcomes on-site visitors, determines the nature of business, and announces visitors to appropriate personnel.
- Welcomes incoming students, builds relationships and trust, and contributes to a safe and welcoming environment.
Job Duties
- Develop and maintain systems related to office management, data and file maintenance, and entry and exit protocol
Assists the Principal in administrative duties as needed. - Answers questions about the organization and provides callers with address, directions, company fax numbers, company website, and other related information
- Supports safe building access protocols
- Assisting with deescalating and resolving conflict
- Engages in frequent multi-tasking; manages conflicting priorities and maintains composure
- Utilizes online databases to maintain and update records
- Assists with student registration and enrollment process
- Assist with tracking and monitoring of individual and school-wide data
- Interfaces with partner district personnel regarding student enrollment
- Coordinates outreach efforts conducted by school staff to promote increased attendance
- Engages with students and families regarding student engagement
- Supports with student records
- Creates and maintains Excel spreadsheets
- Maintains confidentiality of data and personal information at all times
- Provide administrative assistant duties such as monitoring & tracking student data
- Updates and monitors appointment calendars and reserves conference room when needed
- Coordinates the pick-up and delivery of express mail services (FedEx, UPS, etc.)
- Orders, receives, maintains, and distributes office supplies
- Creates and prints fax cover sheets, memos, correspondence, reports, and other documents when necessary
- May assist with the lunch program including data tracking as needed
- Maintains punctual, regular, and predictable attendance
- Works collaboratively in a team environment with a spirit of cooperation
- Respectfully takes direction from manager
- Other duties as assigned
Supervisory Responsibilities
Directly supervises Career Coaches and other staff/volunteers at the assigned WOT Center. Carries out supervisory responsibilities following the organization's policies and applicable laws. Responsibilities include training employees; planning, assigning, and directing work; appraising performance; addressing complaints and resolving problems.

Education & Experience
High School Diploma or equivalent with one to two years of related experience and/or training, or equivalent combination of education and experience.
