Position Overview:
We are looking for a dynamic and detail-oriented Administrative Assistant to support our executive team. This role will help our office operations run smoothly and offers a variety of tasks that will help you develop your skills in a fast-paced environment. If you have strong communication skills, a proactive attitude, and a knack for juggling multiple priorities, this is the perfect opportunity for you!
Key Responsibilities:
- Provide administrative support to the executive staff members, including managing schedules, coordinating meetings, and handling correspondence
- Prepare and organize documents, presentations, and reports with a high level of accuracy and attention to detail
- Maintain filing systems, both electronic and physical, ensuring easy access to information
- Input data into various systems and company databases
- Manage calendar for executives
- Assist with note taking in meetings
- Coordinate office vendors and supplies
- Order marketing material and act as liaison with print centers
- Assist in creating PowerPoints for presentations
- Social media and website support - LinkedIn, Instagram, Email Newsletters
- Assist in preparation of regularly scheduled business reports both internal and external
- Assist with project management tasks as needed, tracking deadlines and deliverables
- Handle confidential information with discretion and professionalism
- Serve as a point of contact for internal and external stakeholders, fostering positive relationships
- Perform other administrative duties as assigned to support team efficiency
Qualifications:
- High school diploma or equivalent; college degree preferred
- Proven experience as an administrative assistant or in a similar role
- Previous customer service experience
- Exceptional organizational skills and attention to detail
- Strong written and verbal communication skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office management software
- Ability to prioritize tasks and manage time effectively
- Professional demeanor and ability to work independently as well as part of a team
