Overview:
The role of an Administrative Assistant is crucial to the smooth operation of the organization, as they provide essential support to the leadership team, department heads, and employees. Administrative Assistants are responsible for ensuring efficient office operations and handling various administrative tasks.
Key Responsibilities:
Manage and coordinate schedules, appointments, and travel arrangements
Organize and maintain paper and electronic files
Act as the first point of contact for internal and external stakeholders
Assist in the preparation of regularly scheduled reports and presentations
Handle basic bookkeeping tasks, such as expense reports and invoicing
Manage office supplies and equipment
Assist in the onboarding process for new employees
Handle sensitive information in a confidential manner
Coordinate with department heads and senior executives on various projects
Perform data entry and manage databases
Handle incoming and outgoing correspondence
Assist in organizing company events and team-building activities
Provide general support to visitors
Assist in the coordination of office maintenance and renovations
Act as a liaison between the executive team and employees
Required Qualifications:
Proven work experience as an Administrative Assistant, Executive Assistant, or Office Administrator
Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
Excellent time management skills and ability to prioritize tasks
Strong organizational and planning skills
Attention to detail and problem-solving skills
Excellent written and verbal communication skills
High school diploma; additional qualification as an Administrative Assistant or Secretary is a plus
Ability to multitask and work effectively in a fast-paced environment
Discretion and confidentiality when handling sensitive information
Professionalism and a strong work ethic
Ability to take initiative and work independently
Knowledge of office management systems and procedures
Flexibility and adaptability to changing work demands
Strong interpersonal skills and the ability to build relationships with stakeholders at all levels
Knowledge of basic accounting principles and office management practices
