About the Job
We are seeking a detail-oriented and organized Administrative Assistant to join our team. The Administrative Assistant will provide essential support to our office, including handling clerical tasks, responding to inquiries, coordinating meetings, and maintaining office supplies.
JOB DUTIES AND RESPONSIBILITIES:
- Lead for all analysis and reporting of financial information including budgets, planning, audits, monthly close items, and required filings and reports.
- Ensure that proper financial controls are in place and that financial transactions support the overall business strategy while conforming with applicable laws and regulations.
- Execute high impact initiatives to achieve overall corporate goals.
- Lead for finance with the executive team to establish the budget and develop growth initiatives that increase company funds while also reducing costs.
- Collaborate with senior leadership to develop corporate vision and strategies that establish the company’s direction and focus.
- Manage finance/accounting team to ensure day-to-day performance and objectives are met.
- Manage a department to achieve goals and objectives set by the Board and organization.
- Develop knowledge of all areas of finance and accounting to lead the organization in developing efficiencies and structure.
- Work with HR and payroll to ensure consistency and efficiency in payroll processing.
- Communicate on financial status including reporting to the CEO. Reports out as part of the executive team to the Board.
- Develop and grow a team through performance management and training
KEY RESPONSIBILITIES:
- Answer and direct phone calls
- Manage emails and correspondence
- Schedule and coordinate meetings, appointments, and travel arrangements
- Maintain files and records
- Assist with the preparation of reports, presentations, and documentation
- Perform other administrative tasks as assigned by supervisors
EDUCATION, KNOWLEDGE, SKILLS AND ABILITIES:
- Proven experience as an administrative assistant or office admin assistant
- Proficient in Microsoft Office Suite
- Strong organizational and time-management skills
- Excellent verbal and written communication skills
- Ability to multitask and prioritize tasks effectively
- High school diploma; additional qualifications in Office Administration are a plus
