CAYA Clinic in Madison, WI is currently seeking an Administrative Assistant to join our team of passionate harm reduction psychotherapists and peers.
CAYA Clinic provides affordable treatment options for people with mental health concerns and/or who use drugs that would like to use safer, moderate their use, change their relationship with substances, or receive mental health, eating disorder, or trauma therapies with no abstinence requirements.
Mission: To meet people who use drugs in Wisconsin where they are and utilize evidence-based harm reduction therapy techniques to reduce drug-related harms, prevent overdose, and promote the empowerment of people who use drugs. CAYA provides services to all regardless of health insurance status. All participants will have access to harm reduction supplies in addition to therapy and peer services. CAYA has a special emphasis on serving historically marginalized communities through programs created by and staffed by people from their own communities.

Position Summary: The Administrative Assistant provides a welcoming atmosphere to all clients, schedules intake appointments, checks benefits, assists with payroll, keeps files per DHS 75.5 requirements. Works with a multidisciplinary treatment team consisting of Clinical Director, Director of Operations, Mental Health Counselors, Substance Use Counselors, and Certified Peer Specialists to meet the needs of each and every client. We are looking for a compassionate, caring, and passionate admin. We do offer clinical supervision and education towards receiving your certified peer specialist, mental health and substance use certification/licensure!
Principal functions
1. Answering calls for intake, checks benefits, and schedules intakes.
2. Answering other calls and directing them to the appropriate resource.
3. Maintain HIPAA and CFR 42 Part 2 Confidentiality standards.
4. Provides a tour of the clinic, including harm reduction supplies for new clients.
5. Greets clients attending session and notify staff through google chat.
6. Assists clients in completing forms and outcome measures.
7. Assists Director of Operations with payroll.
8. Assists Clinical Director with 600 and 610 Forms.
8. Ensuring compliance with local, state, and federal regulations and policies.
9. Performing other tasks assigned by the Program Directors
10. Always acts in the best interests of the client, as the client defines this.
11. Ability to use Google Suite and Therapynotes, once trained.
13. Attends weekly team meeting.
Minimum Qualifications:
Education/Licensure/Certification: High school diploma required.
Experience Required: Some experience in administrative support. Experience in behavioral health will be prioritized.
Skill and Ability: Necessary to have great interpersonal and communication skills, be able to multitask, prioritize, be dependable and reliable, work in a fast-paced environment, and be able to work well with others. Have a deep commitment to social justice and the empowerment of people who use drugs.
Job Types: 0.75 FTE
Pay: Hourly 30 hours per week, $19.00-$22.00/hour
