About the Job
A successful Administrative Assistant should ensure the efficient and smooth day-to-day operation of our office.
Responsibilities, including but not limited to:
- Handle sensitive information in a confidential manner
- Assist with tracker on special projects to include follow up with inter departmental tasks as well as follow through on ownership of tasks.
- Take accurate minutes of meetings
- Maintain computer and manual filing systems
- Book conference calls, conf rooms, couriers, etc.
- Write letters and emails on behalf of other office staff
- Carry out administrative duties such as filing, typing, copying, binding, scanning, etc.
- Contribute to team effort by accomplishing related results as needed
- Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
- Prepare and monitor invoices
- Handle multiple projects
- Submit and reconcile expense reports
- Provide information by answering questions and requests
- Answer and direct phone calls
- Organize and schedule appointments and meetings
- Maintain contact lists
- Produce and distribute correspondence memos, letters, and forms
- Assist in the preparation of regularly scheduled reports
Requirements and skills, including but not limited to:
- Working knowledge of office equipment, like printers and fax machines.
- Experience in MS Office (MS Excel in particular).
- Excellent time management skills and the ability to prioritize work.
- Attention to detail and problem-solving skills.
- Excellent written and verbal communication skills.
- Strong organizational skills with the ability to multi-task.
- At least 2 years of experience in the field or in a related area
- High school diploma or equivalent; college degree preferred

Development agreements in place to build at least 15 more units in next 5 years.
