Waste Connections is looking for a hard working Admin Assistant to join our GROWING team in Maryland Heights, MO.
Position Overview:
The Administrative Assistant ensures that the office runs smoothly, employees have the necessary resources, and administrative processes are efficiently carried out. The individual in this position is responsible for managing the accounts payable process, ensuring accurate and timely payment of invoices, and providing general administrative support to the Champ Landfill team. This role requires strong organizational and communication skills, attention to detail, and the ability to work independently.
Key Responsibilities:
Accounts Payable Management:
-Receive, review, and verify invoices for accuracy, completeness, and proper authorization.
-Code and enter invoices into the accounting system, ensuring proper account allocation.
-Work closely with the team to ensure accurate and timely processing of pur-chase orders and invoices.
-Reconcile vendor statements and resolve any discrepancies or issues.
Maintain accurate and up-to-date records of accounts payable transactions.
Administrative Support:
-Perform general administrative duties, such as answering phone calls, responding to emails, and maintaining office supplies.
-Provide administrative support to management and other staff members as needed.
-Assist in the preparation of presentations, reports, and other documents.
-Maintain filing systems, both physical and electronic, to ensure efficient document management.
-Coordinate maintenance and repairs of office equipment and facilities.
-Assist in the recruitment and onboarding process for new employees, including coordinating interviews and orientations.
-Serve as a point of contact for internal and external stakeholders, including vendors and visitors.
-Support the coordination and implementation of company events, such as team-building activities and celebrations. In addition, you will be required to participate in and help implement events at the Sustainability Campus such as workshops, training, community educational events and tours, recruiting events and community outreach programs and activities.
-Provide support and assistance to other departments or team members as needed.
-Serve as a back-up for scale house attendant.
Qualifications and Skills:
-High school diploma; additional education in finance, accounting, or business administration is a plus.
-Proven experience in accounts payable, bookkeeping, or administrative support roles.
-Proficient in using office productivity tools such as Microsoft Office (Word, Excel, PowerPoint) or equivalent.
-Strong attention to detail and accuracy in data entry and record keeping.
-Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple responsibilities.
-Strong interpersonal and communication skills, both written and verbal and public speaking skills.
-Ability to maintain confidentiality and handle sensitive information.
-Problem-solving skills and ability to work independently as well as part of a team.
Hours: Monday – Friday from 8am-4pm
