Nova Biomedical is hiring an Administrative Assistant, MRO Purchasing in our Lexington Rd, Billerica, MA facility. Working under the guidance of the Sr. Director, the Administrative Assistant will support the Lexington Road Billerica facility. The Administrative Assistant is responsible for providing administrative and clerical services, including some Maintenance, Repair, and Operations (MRO) facility purchasing. Providing these services in an effective and efficient manner will ensure that operations are maintained in an effective and efficient manner. Other responsibilities include:
Key Responsibilities:
- Provide full administrative/receptionist support to the Manufacturing team and other departments residing in the Lexington Road facility
- Perform data-entry, documentation, printing, and filing duties as needed
- Monitor and maintain a stock of stationary and cafeteria supplies for the facility operations
- Assist with purchase requests for all MRO approved purchases and verify invoices for the purchases upon delivery of good and services
- Perform research duties when required by the Sr. Director of Operations'
- Assist Human Resources as needed
Main Activities:
- Provide administrative support to ensure that municipal operations are maintained in an effective, up to date and accurate manner
- Provide receptionist services, including answering and directing phone calls, greeting, and assisting visitors
- Provide support for MRO facilities purchases
- Type correspondence, reports, and other documents
- Assist with contacting and scheduling outside contractors
- Distribute the mail, memos, and other company related information
- Coordinate repairs to office equipment
- Maintain confidential records and files
- Prepare spreadsheets containing data for management
- Schedule meetings as requested by management and staff and provide foodservices as required
- Assist with scheduling of facility wide events by coordinating with Waltham Food Services Dept
- Assist Human Resources with employee relations
- Perform other related duties as required
Qualifications:
- Experience in document control management
- Pleasant personality with good written and verbal communication and interpersonal skills
- Proactive, take initiative and well-organized
- Able to work fast under pressure
- Mature, with an attention to detail
- Ability to multi-task and work independently as well as in a team
- Proficient with MS Office applications (Excel, Word, and PowerPoint) is a must and experience in using SAP software is advantageous
- Ability to maintain a high level of accuracy and confidentiality concerning manufacturing and employee files

Education/Experience:
- High school diploma, or equivalent
- Must have a minimum of 2 years in a roll as an Administrative Assistant
