Administrative Assistant (On-site) at HEPCO, Inc.

Our client is seeking a dedicated Administrative Assistant to provide high-level administrative support. The successful candidate will conduct research, prepare statistical reports, and manage information requests. Responsibilities also include performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, scheduling meetings, and organizing travel and expense reimbursements.

• Serve as a personal representative for the immediate supervisor in routine contacts with other State executives.
• Screen incoming correspondence, refer to appropriate staff, and ensure timely responses.
• Manage calendars and schedule meetings with both internal and external stakeholders.
• Follow up on deliverables from internal stakeholders.
• Handle various forms of communication, including correspondence, calls, and emails.
• Prepare reports and documents as needed.
• Organize travel arrangements, including booking flights and hotel reservations.
• Assist with special projects and conduct research as required.
• Perform other duties as assigned.

Required Skills and Abilities:

• Ability to work both independently and collaboratively as part of a team.
• Strong project management skills, with experience managing multiple time-sensitive, complex projects simultaneously.
• Detail-oriented with the ability to organize and prioritize tasks effectively in a fast-paced environment.
• Proficiency with Microsoft 365, particularly Excel, WebEx, and Zoom.

Minimum Candidate Qualifications:

• A minimum of two years of experience as an administrative assistant.
• Eligible to work in New York State.
