** This is a hybrid role, 24-32 hours per week.
As Administrative Assistant for our operations team you will feel the heartbeat of the company as you coordinate and collaborate with every department to facilitate the smooth and efficient operation of our headquarters office based in Newton, MA.

This is a 24-32 hour per week hybrid office-based position located in Newton, MA, and requires someone who is excited to be involved in a fast paced and exciting environment working a hybrid schedule of 3 days per week on-site at the office.
DUTIES AND RESPONSIBILITIES:
- Performs office administrative function, including clerical and administrative tasks, maintaining records, ordering supplies (keeps office clean and stocked with necessary items, i.e. bottled water, office and cleaning supplies), coordinating maintenance of office equipment, and performing basic bookkeeping.
- Completes communication tasks of drafting letters, memos, invoices, reports, and other documents.
- Answers and transfers phone calls, screening when necessary.
- Welcomes and directs visitors and clients.
- Maintains filing systems as assigned.
- Very accurately maintains customer lists.
- Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed.
- Responds to and resolves administrative inquiries and questions.
- Assists in arranging and scheduling travel (flight and hotel, etc.), meetings and appointments for the US office per company policy.
- Keeps various lists and logs up-to-date in MS Excel and maintains up-to-date Basecamp projects.
- Collaborates and communicates effectively in the coordination of new projects.
- Processes new projects including the creation of job lists, ensuring that all job-related files are maintained and stored properly and entered into Basecamp project management application.
- Coordinates and processes hardware purchases with technical support department and hardware vendor and maintains hardware order tracking list. Confirms payment from customer prior to shipping.
- Follows company processes to efficiently ship product, including the preparation of packing slips and commercial invoices and export documents for international shipments, and maintains shipping database spreadsheet.
KNOWLEDGE, SKILLS, AND ABILITIES:
Ability to act with integrity, professionalism, and confidentiality.
- Associate’s degree required; Bachelor’s Degree in Business Administration or related field preferred or equivalent combination of education and experience.
- At least 2 years of related office experience.
- Knowledge of office administration, clerical procedures, and recordkeeping systems.
- Extremely proficient with Microsoft Office Suite and/or Google Suite or similar software with the ability to learn new or updated software.
- Excellent people skills and a love of dealing with people – with a customer service focus.
- Excellent verbal and written communication and presentation skills.
- Excellent organizational skills and attention to detail.
- Excellent time management skills with a proven ability to multi-task and meet deadlines.
- Excellent interpersonal, negotiation, and conflict resolution skills.
- Ability to function well independently and as an effective team member in a fast-paced and at times stressful environment.
- Proven ability to maintain discretion and confidentiality.
- Must be able to work on-site at our Newton office at least 3 days per week.
