Administrative Assistant - FHIA Remodeling

The Administrative Assistant will be involved in assisting the operations team to manage installations in the Orlando area.

• Answering and routing phone calls appropriately
• Pre-installation customer contact
• Prepare Loan Documents
• Receive and distribute payroll checks
• Generate service tickets for technicians
• Completion and submission of Contractor’ Final Affidavit
• Inspection Follow up and post inspection reports
• Permit renewals and extension documentation as needed
• Monitor job reports for completion
• Receiving measurement from measure tech and submit information for permitting
• Verify lead test and assign appropriate follow up
• Document progress and appropriate notations in Lead Perfection
• Review measure tech documentation
• Researching and submitting documentation to main office for entry into Coupa system
• Generating and preparing installation folders

• Bilingual skills in Spanish is a plus
• 1+ years administrative experience in home remodeling or construction is a plus
• Must be able to efficiently multi-task and work independently with minimal supervision while managing schedules for others
• Must be able to work in a fast-paced environment
• Advanced experience with MS Office - Word, Excel, Outlook and Quickbooks
• Attention to detail with accurate and excellent data entry skills
• Ability to maintain confidentiality
• Ability to communicate efficiently and effectively
• Excellent time and project management skills
