Administrative Assistant Receptionist Job Description Summary
Perform general secretarial and clerical duties to include typing, data entry, filing, correspondence, and other administrative functions. Provide assistance to customers, suppliers, and others visiting the factory. Operate the telephone switchboard and direct calls as necessary.
Administrative Assistant Receptionist Essential job responsibilities:
- Answer all telephone calls through the switchboard and direct those calls as necessary or take messages, as required.
- Greet all visitors and advise the appropriate person of the visitors’ presence in a timely manner.
- Scan in Bill of Lading and Purchase Orders on a regular basis.
- Type letters, general correspondence and various items such as flyers, labels and forms for administrative, manufacturing and support departments as necessary.
- Perform various office tasks such as filing, photocopying, fax, mail distribution, and other duties when required. Enter receipts into PONI as required. Send personal shipment payments to accounting as needed and enter scrap tickets on a daily basis.
- Handle reservations for business related meetings, seminars, training, and other activities that require travel, lodging, or coordination. Order food and meals as needed.
- Monitor meeting room schedules and resolve any scheduling conflicts.
Administrative Assistant Receptionist Qualifications:
- Excellent communication skills and pleasant personality.
- Must maintain a high level of confidentiality.
- Ability to perform job tasks with minimum supervision.
- Experienced in the use of computer programs such as Microsoft Word, Excel spreadsheets, etc.
Administrative Assistant Receptionist Educational or Experience Requirements:
- High school education or equivalent.
- Previous office experience
