Job Summary:
The Administrative Assistant plays a vital role in ensuring the smooth operation of the office by providing comprehensive administrative support. This position involves interacting with visitors, managing communications, organizing events, and handling various clerical tasks with efficiency and professionalism. The ideal candidate will have excellent organizational skills, a keen attention to detail, and the ability to manage confidential information with discretion.
Duties/Responsibilities:
• Welcome visitors, address inquiries, and manage all reception desk activities while ensuring a positive environment.
• Manage incoming communications by answering phones and directing calls to the appropriate staff.
• Effectively handle and distribute incoming mail and deliveries, and perform clerical tasks such as copying, faxing, and filing.
• Organize and coordinate meetings, events, travel arrangements, and manage multiple calendars for senior executives and management, including sending reminders for appointments.
• Assist in preparing materials for distribution, orientations, meetings, and events.
• Handle administrative tasks such as preparing reports, conducting research, and analyzing data.
• Support project coordination by tracking deadlines, updating statuses, and collaborating with team members.
• Act as the primary onsite liaison for facilities and maintenance, communicating between vendors, contractors, and the Facilities department.
• Manage confidential information with discretion, including handling sensitive documents and implementing data security measures.
• Assist with department projects and performs other duties as assigned.
Education and Experience:
• Bachelor's degree or higher degree required, preferably in a related field of study.
• At least 2 years of administrative support experience required, preferably in the medical/health-related field.
Required Skills/Abilities:
• Proficient in Microsoft Office Suite programs including Word, Excel, PowerPoint, etc.
• Strong interpersonal and communication skills with staff, clients, and visitors to ensure a positive experience.
• Strong organizational and multitasking skills, and ability to meet deadlines.
• Professional communication skills through phone, email and mail correspondence.
• Familiarity with office equipment and administrative procedures.
• Ability to manage confidential information with professionalism and discretion.
Physical Requirements:
• Prolonged periods sitting at a desk and working on a computer.
• Must be able to lift up to 10 pounds at times.
