Overview:
The administrative assistant is a multitalented individual with a broad range of skills. You are a great team player, as well as individual. There are lots of loose ends at Stratford just begging for knots. You are the “backbone” of the many departments that function independently and require you to be the customer relations liaison between internal and external customers. Are you up for the task?
You will work directly with the Dean of Nursing, and Program Directors of Nursing on a daily basis.. Reliability and thoroughness while working in a fast-paced environment is essential. This role will require constant travel between the Alexandria, and Woodbridge Satellites.
Functions:Essential Job Functions:
- Reports to Nursing Program Directors - Providing a variety of advanced administrative, confidential, technical and administrative support
- Able to serve as liaison and conduit with same functions on other northern campus (Alex, Woodbridge)
- Greet visitors, students, and/or employees and respond to inquiries, requests for information and provide assistance.
- Maintain office files, student files, and other appropriate records.
- Prepare documents as requested.
- Maintain inventory of office & clinical supplies; works with clinical lab coordinators with such
- Perform general clerical duties including organizing, filing, shredding and photocopying documents and files, etc.
- Compose written correspondence and materials; create and update all departmental forms. Supports organization of data for reports and other materials
- Responsible for answering phones, responding to voice or e-mail messages, as well as sending and receiving faxes.
- Initiate process and track departmental forms such as purchase orders, personnel requisitions, travel authorization forms, supply requisitions, printing requests, and travel expense reimbursement vouchers.
- Supports the coordination and tracking of internal applicants to nursing. Works closely with each campus program director and Campus President, as well as admissions to track students in orchestrated fashion.
- Support coordination of graduation and other activities as needed.
- Support and direct the training of work study students as needed
- Perform other related duties as may be assigned.
- Train and supervise work study student.
- Completes other duties as assigned.

Qualifications:
Required Education and Experience:
- Must have at least 2 years of progressive administrative experience
- Must have strong organizational skills
- Positive attitude
- Good customer service skills
- Excellent oral and written skills; able to utilize MS Office tools to support tracking of students
- Thorough knowledge of the principles of office management and of modern office procedures, systems and equipment.
- Knowledge of department and college policies, procedures, and practices with the ability to answer work related questions; and/or interpret and apply these guidelines correctly in various situations
- Knowledge of business English with the ability to write in complete sentences using appropriate words, correct grammar, punctuation and spelling.
- Detailed-oriented with skills in proofreading materials and data entry to ensure accuracy.
- Oral and written skills to convey ideas, facts, and information effectively and accurately to students, staff, faculty, and the general public.
