About the Job
Summary:
Under limited direction, perform administrative functions requiring independent judgement and discretion in order to enhance the effectiveness of general office administration, management reporting, and the Spokane Division as a whole.
Essential Functions:
• Answer incoming calls coming and direct them to the proper person; greet and direct incoming visitors.
• Create usable sales and management reporting in Microsoft Excel from various data sources according to management timelines
• Print and mail daily invoices; bill daily freight; process freight bills for payment; verify/scan POD's, print POD's and invoices upon request.
• Fulfill customer request for credit applications, WCP tax I.D. information.
• Process incoming mail.
• Maintain conference rooms, coffee bar; order office supplies; perform various errands including driving out office to procure various items as needed.
• Print Welcome Letters/New Account Letters for new customers.
• Accept and process limited number of customer telephone, fax or walk-in orders.
• Regular and reliable attendance.
Other Functions:
• Assist customers with problems, delivery times, lost orders, returns, etc.; answer customer product inquiries (i.e. availability, suitability, substitutions, sizes, etc.).
• Communicate customer-related information, opportunities and problems to Account Managers and Inside Sales Team.
• Perform other duties as assigned.
Qualifications:
• Minimum two years' experience in an Administrative Support function, including receptionist and switchboard operation duties.
• Proficiency with Microsoft Windows and current versions of the Microsoft Office suite of products.
Knowledge, skills and abilities:
• Highest level of professionalism with the ability to maintain confidentiality.
• Effective verbal and written communications skills. Ability to communicate at all levels of organization and work well within a team environment in support of company objectives.
• Customer service oriented, with the ability to work well under pressure.
• Detailed oriented and well organized with the ability to prioritize, coordinate, and simultaneously maintain multiple projects.
• Approachable, flexible and adaptable to change.
Working Conditions:
• Professional office environment.
• Necessity to sit or stand for extended periods of time, regularly lift 10-25 lbs.
• Frequent use of basic office equipment (i.e. computer, stapler, 3-hole punch, paper cutter, etc.).
• Occasional overtime and weekends may be required.
