Administrative Assistant - Tax Department at Citizens

The Tax Administrative Assistant is a full time position, requiring overtime, that provides administrative and clerical support to the Tax Administrators as well as the Tax Department as a whole.

Primary responsibilities include

• General administrative functions (scanning, faxing and copying)


• Filing of tax materials, brokerage statements and client files


• Scanning of efile authorization forms, tax returns and other tax documents


• Email weekly/bi-monthly tax publications to Tax Department


• Setup of client files when new tax information is received


• Prepare correspondence; faxes and any back up information from tax files


• File loose documents into client tax files.


• Prepare next year tax files


• Provide administrative and tracking support during busy tax seasons


• Prepare FedEx and certified USPS mailings


• Manage organization and cleanliness of the file room

Qualifications

Minimum Required:

• Excellent computer skills – Microsoft 365 and Adobe (edit pdf's), with the ability to learn new programs


• Must be highly organized and detail oriented


• Strong ability to follow instructions


• A demonstrated ability to multi-task and handle competing priorities


• Ability to work with a team and independently to accomplish department goals, as well as come up with more efficient processes


• OT required during Spring tax season (2/15 - 4/15)  and possibly in the Fall (Labor Day-10/15)


• Restrictions on vacation time during busy tax seasons

Preferred:

• Working knowledge of CCH Access tax software and Practice CS (will be trained)


• 2 years prior experience with CPA environment and tax process preferred

Hours & Work Schedule

• Hours per Week: 40


• Work Schedule: M-F, with overtime during busy tax seasons
