Administrative Assistant to Campus Principal - Tomball Intermediate School - 2024-2025 School Year - Tomball Independent School District

Primary Purpose:

Ensure efficient operation of campus administration and provide secretarial services for the administrative staff.

Qualifications:

Education/Certification:

High school diploma or equivalent

Special Knowledge and Skills:

Proficient typing, word processing, and file maintenance skills

Effective organizational, communication, and interpersonal skills

Ability to use personal computer and software to develop spreadsheets, databases, and do word processing

Knowledge of basic accounting and payroll principals

Experience:

One to three years secretarial/clerical experience; preferably in public education environment

Major Responsibilities and Duties:

1. Liaison between principal, faculty, parents, and paraprofessionals.
2. Perform normal office/secretarial duties in a professional manner.
3. Maintain all records relating to budget accounts.
4. Maintain all records relating to activity accounts.
5. Reconcile bank statements and submit required monthly reports to the business office.
6. Prepare payroll vouchers for employee reimbursements.
7. Maintain petty cash fund.
8. Maintain records on all school fund-raising projects.
9. Inventory incoming supplies and distribute.
10. Schedule facility use.
11. Maintain campus level personnel files on all school personnel.
12. Maintain accurate records of teacher absences in AESOP and prepare any needed forms to submit to central office.
13. Type and maintain paraprofessional, substitute, lunchroom monitor and other time sheets as needed.
14. Maintain accurate work calendars for school personnel.
15. Maintain, issue and balance records of deposit for all school money.
16. Sell school supplies.
17. Order all supplies and prepare all purchase orders/requisitions for school.
18. Tabulate annual co-op order for supplies for school year.
19. Maintain staff development information; submit A+ forms to central office.
20. Schedule equipment and building repair.
21. Assist parents, students, staff, and volunteers in front office.
22. Handle crisis and/or emergency situations in a calm, efficient manner.
23. Prepare and distribute correspondence.
24. Develop computer and other skills appropriate for job.
25. Run errands pertinent to job as needed.
26. Perform other duties as assigned by principal.

Supervisory Responsibilities:

Monitor the work of campus secretaries and clerical aides.

Equipment Used:

Personal computer, typewriter, printer, copier, fax machine, calculator, and laminator.

Maintain emotional control under stress; work with frequent interruptions. Repetitive hand motions; prolonged use of computer. Moderate walking, standing, heavy lifting and carrying up to 53 pounds; climbing, stooping, bending, kneeling, and reaching.Responsibilities require contact with individuals that may include exposure to disruptive behavior.
