Administrative Assistant to the Assistant Superintendent – Teaching and Learning
12 Month Position
POSITION SUMMARY: Maintains curriculum and professional development budgets, textbook assessments, supply purchases and travel reimbursements. Schedules meetings and maintains files. Serves as a liaison across all departments within the district connected to curriculum. The Administrative Assistant to the Assistant Superintendent must be able to articulate budget related information to all schools and departments and field questions related to budgets.
QUALIFICATIONS:
- Requires a high school diploma or equivalent
- Requires Excel and Google Suite applications experience
- Preferred 2 to 5 years of job-related prior experience
- Preferred additional education with a business concentration
- Preferred SISFin knowledge and experience
- Requires additional computer training
ESSENTIAL DUTIES AND RESPONSIBILITIES: Other duties may be assigned.
Maintains Curriculum Department and Professional Development budgetprocesses, including:
- Responsibilities include, but not limited to, creation and maintenance of spreadsheets to accurately identify and reflect the fiscal year budget, variances as well as the working budget
- Maintains credit card and credit account information
- Reconciles credit card statements and submits for payment
- Responsible for gathering the following:
- W-9 information
- Vendor set-up documents
- Creating and reconciling purchase orders
- Balancing of budgets on a bi-weekly basis at a minimum
- Responsible for gathering and processing employee pay vouchers
- Processes purchase orders, invoices and reimbursements for curriculum department
- Maintains budgets for Summer School Programming K-12
Maintains and orders textbooks, assessments and materials for the district and Summer School Programming K-12
- Orders all textbook materials on an annual basis for the district
- Orders district and building materials for statewide assessments and other college and career readiness assessments
- Orders classroom materials for elementary, middle, and high school summer school sites
- Maintains summer school resources for future year offerings
- Coordinates Textbook and Library Disposal with schools
Maintain Curriculum documents, including:
- Processes course additions and changes going to the Board of Education
- Updates PK-12 Course Description guides annually
- Processes requests and provides information to teachers, principals, administrators and the Board of Education
Miscellaneous, including:
- Schedules meetings
- Performs miscellaneous clerical/secretarial duties including typing, copying, filing, etc
- Answers phones, writes messages and routes calls as needed
- Opens, sorts and distributes mail
- Prepares bulk or special mailings as needed
- Maintains the department filing system
- Maintains office equipment and makes service calls
