The Administrative Assistant to the Chief Financial Officer (CFO) position is responsible for performing a wide variety of administrative and executive level support related responsibilities, frequently working independently with little or no supervision. The position will interact with senior administration, board members, government and community leaders, families and a wide variety of stakeholders.

Responsibilities:- Performs administrative duties for Chief Financial Officer. Manage workflow and will be the gatekeeper of daily schedule, telephone and written correspondence, meeting requests, follow-up meetings, etc.
- Independently coordinates and implements departmental projects such as producing the Performance Dashboard and Annual Hospital Budget Book.
- Plan, schedule, and attend leadership and administrative meetings of the Chief Financial Officer. Prepare agenda, take and distribute minutes, and insure timely completion of all action items and deliverables defined at these meetings with the ability to manage, update, follow through and report on all action items.
- Manage sensitive and highly confidential correspondence appropriately
- Creates PowerPoint presentations and reporting in Excel. Participates in documentation processes, obtaining, compiling, maintaining and issuing necessary records, reports, data or lists, ensuring accuracy of content and correct distribution.
- Assists in departmental HR functions including but not limited to: mentoring office personnel; formulating and implementing department policies; handling office conflicts; maintaining KRONOS.
- Facilitates and coordinates scheduling of CFO calendar.
- Acts as a conduit for highly sensitive/confidential, multidepartment information, messages, and actions between Executive Vice President and Hospital leadership.
- Reconciles credit card and other incidental expenses in support of Chief Financial Officer.
KNOWLEDGE , SKILLS AND ABILITIES REQUIRED
- Minimum of ten years executive secretarial experience; financial work experience preferred, medical experience a plus.
- Strong knowledge of MS Office, including Word, Excel, PowerPoint and Outlook; advanced experience with creating PowerPoint presentations essential.
- Excellent communication skills including the ability to write and edit independently at a level producing communications consistent with standards for a senior leader at an academic institution and the ability to communicate and develop working relationships with professionals at many levels
- Anticipate needs, work with little supervision, exercise independent judgment, and make effective decisions based on knowledge of organizational priorities, resources, and policies.
- Possess a high-level of professionalism and utilize considerable discretion and discriminating judgment in dealing with high level leadership and matters of a highly confidential and sensitive nature.
