JOB SUMMARY
Performs full administrative assistant functions of a highly responsible and confidential nature for the vice president with a great deal of latitude for independent judgment, requiring a high level of tact and integrity due to the frequency of internal and external contacts, and high degree of exposure to confidential data; performs various equivalent administrative functions; performs related duties as required; interacts with students, staff, faculty and external constituents.
ESSENTIAL FUNCTIONS
1. Plans and carries out assigned administrative functions requiring considerable knowledge of the university and the specific vice president’s method of operation; administers day-to-day functioning of vice president’s office to maintain a welcoming, efficient operation which contributes to its effectiveness. Schedules appointments and maintains calendar information; communicates vice president’s instructions or desires to various individuals and/or departments.
2. Sets up meetings including staff retreats, and council meetings; assisting in preparation of agendas, collecting background information including statistics and other materials as needed. Schedules individual meetings for vice president with other members. Assists with the preparation of meeting materials and presentations and completes meeting minutes. Schedule meetings, make logistical arrangements and take minutes.
3. In addition, provide administrative support as needed to the Directors of Admissions and Financial Aid, this may include scheduling meetings, making room arrangements, ordering office supplies, other services or materials as needed.
4. Coordinate and book all Vice President, Director of Admissions and Financial Aid business travel. Manage all receipts, Wells One transactions, employee expense reporting on behalf of the Vice President. Execute through university systems and purchasing policies necessary supplies.
5. Organize and manage a variety of projects for the department including annual retreat, project data collection, special functions hosted by the vice president, and other projects as requested.
6. Responsibilities include handling all office related requests, ordering supplies, counselors business cards, notes cards, name tags, etc.
7. Other duties as assigned by the Vice President, Director of Admissions & Financial Aid.
QUALIFICATIONS:Minimum Qualifications
- High School diploma or the equivalent
- Five years of administrative support experience

- A college degree
