Administrative Assistant - Hampton Ridge Healthcare & Rehabilitation

Hampton Ridge Healthcare & Rehabilitation is seeking a motivated and organized Administrative Assistant to support the daily operations of our facility. As an Administrative Assistant, you will be responsible for performing various administrative and clerical tasks to ensure smooth and efficient operation. You will work closely with department managers and healthcare staff to assist with scheduling, communication, and other office duties. The ideal candidate will have excellent organizational skills, attention to detail, and a passion for contributing to a healthcare environment.

Key Responsibilities:

• Perform general office duties such as answering phones, handling emails, and directing inquiries to the appropriate staff.

• Assist with scheduling appointments, meetings, and managing calendars for the management team.

• Prepare and organize documents, reports, and presentations for internal use and external communication.

• Maintain filing systems, both electronic and physical, ensuring that all information is well-organized and accessible.

• Greet and assist visitors, patients, and vendors in a courteous and professional manner.

• Handle data entry tasks related to patient information, inventory, or billing.

• Coordinate and assist with special projects and events as needed.

• Maintain office supplies by monitoring inventory levels and ordering new supplies when necessary.

• Help to ensure compliance with company policies and healthcare regulations, especially in handling sensitive patient information (HIPAA compliance).

• Assist with other administrative tasks to support the smooth running of the facility.

Qualifications:

• High school diploma or equivalent; additional certification in office administration is a plus.

• Previous experience as an Administrative Assistant or in a related administrative role, preferably in a healthcare setting.

• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other office software.

• Strong organizational skills with the ability to prioritize tasks and manage multiple deadlines.

• Excellent written and verbal communication skills.

• Attention to detail and a high level of accuracy in tasks such as data entry.

• Ability to maintain confidentiality, especially concerning sensitive patient information.

• Professional demeanor and customer service-oriented approach.

• Ability to work independently and collaboratively in a fast-paced environment.
