Job Details
The Administrative Assistant will provide comprehensive administrative support to the property management team with a specific focus on landlord/tenant litigation. This role is essential in ensuring smooth operations and effective communication within the department and with external stakeholders.
Administrative Support:
- Assist in preparing legal documents related to landlord/tenant litigation.
- Maintain and organize files and records, ensuring easy access and confidentiality.
- Handle correspondence, including emails and phone calls, related to property management and litigation matters.
- Schedule and coordinate meetings, appointments, and court dates.
Document Management:
- Create, edit, and proofread property management documents and legal correspondence.
- Assemble and distribute lease documents and maintain tenant lease files accurately and promptly.
- Scan and file all relevant documents into the network.
Communication and Coordination:
- Act as a liaison between property managers, tenants, and legal teams.
- Communicate with tenants regarding property-related issues and litigation processes.
- Coordinate with legal counsel to ensure compliance with New York's landlord/tenant laws.
Data Management and Reporting:
- Compile statistical information and prepare reports for the property management team.
- Assist in organizing data for investor reports and presentations.
