Administrative Assistant

Our client is a non-profit, specializing in youth program development and creating experiences for Minnesota youth.
They are seeking a dedicated and detail-oriented Administrative Assistant to support their Youth Program Manager and Executive Director in a fast-paced, mission-driven environment.
The ideal candidate will be highly organized, proactive, and possess excellent communication skills. This role requires a commitment to the organization’s values and the ability to manage multiple responsibilities with efficiency and discretion.
Responsibilities:
- Provide high-level administrative support to the Executive Director, including managing their schedule, arranging meetings, and coordinating travel.
- Serve as a primary point of contact between the Executive Director and internal/external stakeholders, ensuring effective communication and timely follow-ups.
- Draft, edit, and proofread communications, reports, presentations, and other documents as needed.
- Assist with planning and coordinating organizational events, meetings, and board activities.
- Maintain confidentiality and exercise discretion with sensitive information.
- Prepare agendas, take meeting minutes, and ensure action items are tracked and completed.
- Support the Executive Director in strategic initiatives and special projects.
- Conduct research and gather relevant information to assist in decision-making processes.
- Manage and prioritize incoming requests and correspondence, filtering and handling inquiries as appropriate.
- Perform other administrative tasks and duties as assigned to ensure smooth operations.
Qualifications:
- Associate's Degree or equivalent experience in administration, business, or a related field.
- Minimum of 5 years of experience providing executive-level support, preferably in a non-profit or mission-driven organization.
- Excellent written and verbal communication skills.
- Strong organizational skills and attention to detail.
- Proficiency with Microsoft Office Suite and experience using project management and communication tools.
- Ability to handle multiple priorities, anticipate needs, and work independently with minimal supervision.
- A high degree of professionalism, integrity, and discretion in handling confidential information.

$47,000 - $63,000/year based on experience.
